We are excited to invite applications for a Building Manager to join our dynamic team. We’re looking for a proactive, detail-oriented individual with a passion for the property industry.
DUTIES
OFFICE ADMINISTRATION
To enforce Body Corporate Conduct Rules in the building
To ensure the smooth day to day operation of the Body Corporate Office
To answer and direct phone calls
To deal with all enquiries and all CSOS matters
Plan meetings, take detailed minute, circulate the minutes and keep record thereof
Write, distribute emails, correspondence, memos, letters and other forms
Assist the Trustees and the Managing Agent in the preparation of regularly schedules reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact list
Act as first point of contact for internal and external clients, owners, residents and Managing Agent
Liaise with Trustees and Managing Agent to handle complaints, requests and queries from owners and tenants
To maintain a user-friendly environment at the front office and reception area
Reconcile petty cash on last day of every month
Collect adhoc parking money and submit reconciliation on the last day of every month
STAFF
To supervise the staff in their daily duties
To create and maintain a roster in terms of staff cleaning of the building
Daily inspection of the staff on and off duty
Daily inspection of the duties performed by the staff
Maintain staff records from sick leave, vocational leave, time off, and disciplinary records
Conduct disciplinary procedures in respect to staff
Keep track and advise the Trustees of the contracts of staff members
FINGERPRINT AND ACCESS CONTROL
To maintain the fingerprint database on the biometric entry and exit systems, both electronic and manual records, for both existing and new residents to the building
CCTV MONITORING
To maintain the CCTV system in good working order
To monitor CCTV footage daily, or when expedient, for Conduct Rules violations such as sleepovers, parking violations, damages to the property of the Body Corporate, damages to the property of residents, and he general demands of residents
LIAISING WITH EXERNAL AGENCIES
To maintain good relations in liaising with external service providers such as the SA Police, CCMA, Metro Police, security providers and other Contractors as may be the case.
CONTRACTORS AND SERVICE PROVIDERS
To meet with Contractors that are doing work in the building, to deal with issues of indemnity and liabilities
To monitor the movements of contractors in the building for quotation inspections and to provide general support with queries
To sign off all job cards of work done for the Body Corporate to confirm work completion.
SECURITY PROVIDERS
To ensure that the service providers provide a reasonable access control service that is adequate to the building and its residents, in keeping with the Conduct Rules
MAINTENANCE
To plan and schedule ahead all routine maintenance activities
To identify maintenance issues and report the o the Trustees and obtain quotations for the remedial work. Ensuring the day-to-day smooth running of the building
The identification of water leaks that may occur in hard-to-reach areas, and in the common property, and advise the Trustees so that remedial work may take place
INSURANCE CLAIMS
To assist owners in the submission of insurance claims to the Insurer for geyser claims and resultant damage claims
10 YEAR MAINTENANCE PLAN
Assist the Trustees to draw up the 10-year maintenance plan, and draw up the budgets and plans accordingly
QUALIFICATIONS/EXPERIENCE
Grade 12 or Higher
Minimum of 5 years’ experience as a Facility / Building Manager
Computer literate
Be familiar with eThekwini Municipal bylaws.
